Playbook #4
Create an agenda from a discussion thread
Transform any email or messaging exchange into a structured and ready-to-use agenda.
The Challenge
Exchanges accumulate in a discussion thread, topics overlap, some priorities remain implicit, and it becomes difficult to prepare a clear and shared agenda before a meeting.
What this playbook brings you
This capsule helps you transform, in less than 10 minutes, a discussion thread into a structured, prioritized, and directly actionable agenda, by highlighting the topics to address, their objectives, and the points that require a decision, arbitration, or clarification during the meeting.
"A meeting without an agenda is a conversation searching for itself." — Patrick Lencioni
When to use this capsule
- Prepare a follow-up meeting after an email exchange
- Structure a team meeting from Slack or Teams discussions
- Organize a decision point after several informal exchanges
- Clarify expectations before a client or partner meeting
What you'll need
- A discussion thread to analyze (email, Teams, Slack or other)
- The list of expected participants
Which tool are you using?
Copy-paste this prompt into your tool
Analyze this conversation thread and generate a structured agenda for an upcoming meeting.
Requested Structure:
1. Meeting Objective
– A sentence describing the main goal, as it explicitly appears in the thread.
2. Points to Discuss
– Numbered list including, for each point:
– Subject (short title)
– Context (1 to 2 sentences summarizing the issue, based only on the thread)
– Discussion Leader (if identifiable)
– Allocated Time (only if a meeting duration is explicitly mentioned in the thread)
3. Decisions to Make
– Decisions explicitly mentioned in the thread as needing to be decided during the meeting.
– If none, indicate "unspecified".
4. Required Preparation
– What participants must read or prepare before the meeting, only if it appears in the thread.
Important Constraints:
– Do not invent any subject, decision, person responsible, duration, or preparation absent from the thread.
– Use only information and names present in the thread.
– If information is missing or ambiguous, indicate "unspecified".
– Professional and concise tone.
